Receptionist - Jupiter Office

We are seeking a professional, organized, and personable receptionist to join our law firm's Jupiter office. As the first point of contact for clients and visitors, you will play a key role in creating a positive and professional first impression. You will also provide essential administrative support to attorneys, legal assistants, and paralegals to help ensure the smooth and efficient operation of our office and also provide backup assistance to team members as needed.

Our fast-paced, collaborative environment requires someone who is flexible, dependable, and committed to maintaining strict confidentiality. The ideal candidate is highly organized, detail-oriented, and comfortable using legal office software, including document management systems.

The ability to prioritize tasks and work efficiently in a fast-paced legal environment is essential. Prior experience in a law firm or professional office setting, as well as familiarity with legal document management systems, is a plus. 

As a Receptionist at Jones Foster, here is what you will do:

  • Greet clients, visitors, and vendors in a courteous and professional manner.
  • Answer and direct incoming phone calls promptly and efficiently.
  • Maintain and organize physical and electronic filing systems.
  • Handle incoming and outgoing mail and courier services.
  • Assist in office supplies inventory and place orders as needed. 
  • Support attorneys and staff with administrative duties such as data entry, photocopying, scanning, and faxing.
  • Maintain confidentiality of sensitive client and firm information at all times.
  • Perform other related duties as assigned.

The following is a list of some of the important things we would like to see in a candidate:

  • Minimum of two (2) years’ experience in an administrative/receptionist role.
  • Professional demeanor and ability to handle sensitive and confidential information with discretion.
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Proficient in multifunction word-processing software including Microsoft Office Suites (Word, Excel, Outlook, PowerPoint, and PDF programs) or related software.
  • Aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Contributes to the team effort by accomplishing related results as needed.
  • Excellent verbal and written communication skills.
  • Outstanding interpersonal skills.
  • Exceptional organizational skills with a proven ability to meet deadlines.
